• Designing Invites, Landing Pages & Cards.
• Designing Drink Tickets, Food Tickets & Any Additional Signage.

• Microsoft Co-Op reporting across regions. Export reporting from portal, allocate transactions to regions, share with regions with Co-Op guide. 
• Develop strategies and plan marketing activities with Management, Sales Team, Vendors and Marketing Agencies. 
• Execute on activities within budget and set timeframe. 
• Gather proof of execution and submit claims after execution. 
• Claims are also submitted on behalf regions, track payments and advise accounts of reimbursement allocation. 
• Resolve queries around claim holds or requests for more information. 
• • Receive leads and work with Management and Sales Team to farm leads from campaigns. 

• Make sure all activities are compliant with each vendor guides and rules around MDF prior to execution to avoid claim rejections. 
• Working with Vendor and FT Team input to determine content from different vendor campaigns incl. Topics for webinars/ presentations. 
• Picking speakers.
• Compiling invite lists with AM’s per initiative.
• Sending invites.
• RSVP management and reminders incl. AM assisted follow up. 
• Approving content and artwork.
• Reviewing stats during execution and adjusting if necessary.
• Meeting deadlines for execution timeframes for MDF. 
• Following up and working with agencies to ensure execution – they are an extension and still need management and follow up. 
• Ensuring we stay within FT budget for partner portions and minimising financial risk from claim rejections. 
• Liaising with Financial Manager regarding upcoming payments. 
• All payment processes and paperwork.

• Prepare marketing budget based on previous year spend and estimated new year spend incl. new activities for Software and Solutions. 
• Meet with Finance once budgets are final to align on spend per cost centre and division for Software and Solutions. Know which costs need to be allocated to correct GL to ensure accurate allocation when budgets are being prepped. 
• Monthly budget reporting & tracking, advise on re-allocations to Finance when needed.

• Budget, Cost Estimates.
• Sourcing of venues, catering, gifting, entertainment, suppliers, decor, etc.
• Coordinate and work with FT Team to determine objectives; agenda; invite lists etc. 
• Design invite, send invite; rsvp tracking, follow up and attendance reporting of event. 
• Assist with presentations if needed creating or enhancing. 
• Coordinating all arrangements with venue and other suppliers. 
• Managing the event. 
• Main point of contact for all suppliers and staff. 
• Cost breakdowns for Finance if required. 
• Plan, manage and execute Software staff initiatives.
• Management and planning of overall company events i.e., Year End Function, Annual Sales Conference.

• Write press releases for awards/ announcements. Work with relevant manager to approve, send to press office for publishing. 
• Case Studies, Editorial Pieces – work with PR Evolution 
• Editorial contact on articles published. 
• Coordinate PR Evolution and all FT parties involved for article, such as spokes persons, experts, and customers. 
• Co-ordinating efforts for interview, answering Q&A, editing and approvals. 
• Reviewing stats from PR Evolution on dissemination over and above ITWeb. 
• Contributor to First Technology National LinkedIn page.
• Share Press Release posts.
• Create/ Share Vendor Campaign posts.
• Request access for agencies Digital Teams to post on behalf as part of Vendor Campaigns. 

• Assist Management and Sales team with presentations, updating information and look and feel PowerPoint and Word documents. 
• Create and design 1 pagers and other collateral.
• Review and approval with Management. 

• Manage any customer requests for donations, participation in corporate events, gifts, etc.
• Charitable initiatives by FT if help is needed purchasing goods, coordinating teams, etc.

• Source and order promotional items such as pens, notebooks, etc.
• Occasional customer gifting if required.

• Request PO’s from back office – provide info for PO. 
• Send invoicing to back office for receipting.
• Payment Requests.
• Flowers & gift orders, condolence, new baby etc. (also for customers/ vendors when requested) 
• Travel arrangements as needed. 
• Order Stationery.
• Order Coffee.
